Automatically Keep Your Employees Synced with Sociuu

Microsoft User Sync allows you to connect your Microsoft Entra ID (Azure AD) environment with Sociuu, enabling automatic synchronization of employee data across your organization.

Instead of manually managing users inside Sociuu, employee information can automatically be created, updated, and removed directly through Microsoft Entra ID.

This reduces administrative work, improves governance, and ensures your employee advocacy program always reflects your current organizational structure.




What Can Microsoft User Sync Do?

Once enabled, the integration can automatically:

  • Create new employees in Sociuu

  • Update existing employee information

  • Remove inactive or deleted employees

  • Synchronize departments and group memberships

  • Keep employee access and user structures up to date

This makes onboarding and offboarding significantly easier for administrators managing larger employee advocacy programs.

Requirements

To enable Microsoft User Sync, your organization must:

  • Use Microsoft Entra ID

  • Have administrator access to Microsoft Entra ID

  • Allow the Sociuu integration within your Microsoft environment

Please note:Administrator credentials are required on the Microsoft Entra ID side in order to approve and configure the integration.



How the Setup Works

Step 1 — Configure the Integration

Your Microsoft Entra ID administrator must also be added as a Sociuu administrator in order to configure the integration.

To begin setup, navigate to:

Settings → General → Microsoft Entra

From here, you can start configuring the synchronization settings and approve the required Microsoft permissions.




Step 2 — Configure Synchronization Settings

Once the integration has been approved, you can define how employees should be synchronized between Microsoft Entra ID and Sociuu.

Available Sync Options:

Sync Departments

Includes employee department information during synchronization.

Sync Group Memberships

Imports Microsoft Entra ID groups as User Groups inside Sociuu.

Remove Group Assignments Not in Entra

Automatically removes users from Sociuu User Groups if their Microsoft Entra ID group memberships change.

Remove Users Not in Entra on Sync

Automatically removes users from Sociuu if they no longer exist in Microsoft Entra ID.

Send Welcome Email to New Users

Automatically sends the Sociuu welcome email to newly created employees.



Existing User Handling

You can choose how existing users should be managed during synchronization.

Update Existing Users (Recommended)

Keeps employee information continuously updated and synchronized between Microsoft Entra ID and Sociuu.

Skip Existing Users

Only creates new users and ignores updates to already existing employees inside Sociuu.



Filter Which Employees Should Sync

Using the Filter by Entra Groups dropdown, you can define which employees should be synchronized.

  • Leaving the filter empty will synchronize all employees

  • Selecting one or more Entra Groups will only synchronize employees belonging to those groups

This makes it possible to limit synchronization to specific departments, countries, or business units.



Step 3 — Configure Sync Schedule

Once your synchronization settings are configured, proceed to the Sync Configuration section.

Here you can define:

  • How often should synchronization run

  • When automatic synchronizations should start

  • The recurrence schedule for future syncs



Step 4 — Start Your First Synchronization

Once setup is complete, click Sync Now to start your first synchronization.

Moving forward, all synchronization activity can be monitored through the User Sync History section at the bottom of the page, where you can review:

  • Created users

  • Updated users

  • Removed users

  • Synchronization status and actions
